Notre quotidien est littéralement rythmé par des applications qui facilitent nos moindres faits et gestes alors qu’au bureau, nos outils informatiques sont encore souvent complexes et nous font perdre du temps… mais plus pour longtemps !
Dites adieu à l’imprimante qui tombe en panne avant chaque meeting, le travail 2.0 c’est avant tout une promesse faite aux collaborateurs : mettre le digital à leur service afin de permettre une expérience utilisateur améliorée. Il est désormais temps de faire place à une ère nouvelle dont l’objectif est de réduire significativement le décalage entre le rapport au digital dans le cadre privé et professionnel.
C’est un fait, le digital garantit une meilleure efficacité ainsi qu’un précieux gain de temps dans l’accomplissement des diverses tâches professionnelles quotidiennes. En terme de communication et d’échange, les outils digitaux à la disposition des salariés offrent une efficacité et une réactivité sans comparaison avec les moyens de communication traditionnels. L’avènement du digital a également des vertus insoupçonnées sur le monde de l’entreprise comme par exemple avec la généralisation de la dématérialisation de certains documents tels que les fiches de paie. Enfin, n’oublions pas l’impact sur la formation avec le développement du e-learning qui est aujourd’hui un outil de formation très plébiscité.
Loin de s’arrêter là, le digital investi littéralement les espaces de travail qui doivent désormais être flexibles, intelligents et connectés.
NOUVEAUX ESPACES DE TRAVAIL : LA VIE DE BUREAU FACILITÉE
Après des années de résistance, le bureau traditionnel entame lentement mais surement sa petite transformation. La tendance qui a commencé dans les startups de la Silicon Valley, puis suivie par des entreprises du CAC 40, est en passe de redéfinir durablement la conception que nous avons du lieu de travail.
Fini la mode de l’Open Space des 90’s et de l’organisation impersonnelle du travail : les mots d’ordre tournent aujourd’hui autour de la qualité de vie, de la recherche de sens et tout ça pour le plus grand bonheur des Millennials. Cette génération Y, qui a grandi avec Internet et qui s’est appropriée les outils de communication numériques, recherche avant tout un environnement de travail sans brutalité, en accord avec son mode de vie nomade.
Hyper connectés et mobiles, il est difficile de satisfaire les nouveaux ou récents entrants sur le marché du travail qui ont la volonté de dessiner le paysage professionnel de demain. Entre Smart Office et Flex Office, les anglicismes ne manquent pas pour qualifier ces lieux de travail qui tentent de répondre à leurs attentes.
Le Flex Office, ou bureau flexible, consiste tout simplement en l’absence de bureau attitré sur le lieu de travail. L’objectif du Flex Office est de créer un espace « tout en un », promouvant la mise en commun des biens et constitué de lieux conçus comme des ambiances contribuant à maximiser l’efficacité de la tâche qui y est réalisée (espace brainstorm, phone room par exemple). Ces nouveaux espaces ont déjà séduit de grandes entreprises comme Adidas, Bouygues Télécom ou BNP Paribas, qui n’hésitent pas à booster la créativité des employés, stimulés par des ambiances de travail qui facilitent les échanges.
En plus d’être flexible, le bureau 2.0 doit également être connecté et, de ce postulat, est né le Smart Office. Le bureau innovant doit pouvoir se métamorphoser facilement et s’adapter à chaque contexte professionnel, mais il doit aussi répondre aux besoins des salariés. Le Smart Office réside donc dans l’utilisation de l’IOT et du Big Data qui récoltent des données concernant les collaborateurs grâce à des solutions technologiques non intrusives (objects connectés, badges…). L’analyse des comportements de masse des salariés permet la correction des anomalies et la détection des points d’optimisation : en bref, l’entreprise peut adapter l’environnement de travail à la journée des employés en mesurant les écarts entre leurs besoins et les solutions actuelles proposées par la structure. Ces améliorations passent par la mise en place d’applications clés qui permettent par exemple la réservation d’espaces en temps réel, la numérisation des badges, la géolocalisation indoor…
La digitalisation des espaces de travail permet donc de luter contre la routine aiguë et la baisse de motivation, et est le reflet de changements durables dans les comportements et les usages.
LES ENJEUX DU MANAGER FACE À CES ÉVOLUTIONS
Face à la digitalisation des pratiques et des espaces de travail, nos managers doivent respecter deux mots d’ordre : adaptation et flexibilité. Mettre en place un management à distance avec des collaborateurs nomades constitue un enjeu majeur de la fonction managériale.
Il faut bien avoir en tête que, si la façon de travailler change à l’ère de la digitalisation et du travail à distance, la façon de manager aussi. Nous pouvons désormais parler de « néo manager », membre essentiel à l’équipe qui saura fédérer malgré la distance et accompagner les interactions. Manager c’est donc trouver le bon équilibre entre souplesse et rigueur : rigueur pour contrôler l’autonomie des travailleurs afin d’atteindre les objectifs et souplesse pour être disponible et à l’écoute.
Il s’agit dans la pratique de trouver un mode de communication adapté, de fixer des objectifs précis et quantifiables, d’assurer un contrôle efficace des employés, de faire des bilans réguliers et surtout de construire une relation de confiance avec chaque collaborateur. Les managers deviennent donc indispensables au bon fonctionnement de tout projet et la fonction managériale accompagne la transition vers de nouveaux modes de travail. La réussite d’une transition vers un Smart Office par exemple, dépendra des facultés du manager à anticiper et coordonner les échanges. Il faut désormais faire place au management de la bienveillance et oublier la méfiance : tout réside dans la responsabilisation les salariés. La mise en place de ce genre de concept ne s’improvise donc pas et demande un travail de planification et d’accompagnement que le manager doit gérer avec rigueur.
Le manager accompagne toutes les phases de transition vers un espace de travail digital et nomade, que se soit en amont en définissant le scope du projet qui doit correspondre aux besoins ou en aval en veillant à la cohésion des équipes à distance.

ET LA MARQUE EMPLOYEUR DANS TOUT ÇA ?
La digitalisation est également une aubaine pour la marque employeur qui a trouvé un nouveau levier pour attirer des talents et les fidéliser.
En effet, la digitalisation et la mise en place de nouveaux espaces de travail participent à la création d‘un cadre motivant, stimulant pour la créativité et l’innovation ce qui est un vrai plus pour montrer sa faculté à proposer une expérience aux salariés. Un salarié qui aime son espace de travail c’est un salarié qui va rester fidèle dans la durée à son entreprise. Les espaces de travail deviennent donc de vrais instruments au service de la marque employeur qui doit trouver de nouvelles manières d’attirer les collaborateurs depuis que le salaire ne constitue plus un argument imparable.
Cette tendance à l’attractivité basée sur l’espace de travail possède même un nom : l’Office Branding, un phénomène qui ne manque pas d’idées pour séduire les plus connectés. En misant sur l’Internet of Things qui améliore considérablement l’environnement de travail, sur la création de parcours intelligents qui simplifient la gestion de l’espace des collaborateurs ainsi que la transmission des données et sur la mise en place de services tels que des salles de sport, l’Office Branding envisage l’espace de travail comme un moyen de communication à part entière.
Il est important de rajouter que l‘Office Branding est le résultat d’une co-construction avec l’ensemble du personnel pour faire émerger les espaces qui reflèteront l’identité et les valeurs de l’entreprise, comme c’est notamment le cas chez les GAFA (Google, Apple, Facebook, Amazon) qui sont adeptes de la tendance.
Pour la marque employeur, l’espace de travail connecté devient donc un moyen de faire bonne impression, de véhiculer les valeurs de l’entreprise, de renforcer sa culture et surtout de tirer son épingle du jeu dans la course à l’innovation et au recrutement.
